Once you have
added your first quote, you are ready to create a job from that quote and add it to the Shipping page.
Your completed quote should look something like the below, displaying the details that you entered and with a button on the right-hand side to Create Job.
Check that all of the information is correct, and then click on Create Job. This will generate as many jobs as required to transport the product that you have quoted. If you chose to include a pump in the quote, and specified that you were using your own pump, a job will be created for this as well.
Once your job has been created, click on the Shipping option at the top of the screen (1), then use the date options (2) to navigate to the day that you have created the job for, you can click the word Today to immediately load the current day. You will then see your job waiting in the Holding Area (3). Once you are up and running with AGG SMART, there will likely be several jobs in this area, so read the information displayed to make sure that you are selecting the job that you need before proceeding.
Once you have located your job in the Holding Area, you can now drag it onto the Shipping Pane.
Each column represents a vehicle, specified in the header. The vehicles will be split into colour coded groups that your company specified, and will either have a vehicle name or the registration plate number to identify it. If one of the drivers, using their AGG NAV app, is logged in and using a truck, their name will display below the vehicle name.
Each row represents a time, as shown on the left hand side of the window. Each cell in the table represents a fifteen minute window.
Once you are ready, you can click and drag your job from the Holding Area onto the Shipping Pane.
Once your job is on the Shipping Pane, it will look like the above. The basic information about the job is shown, as well as some additional symbols at the bottom.
The first, currently showing UNCONF with a red background, displays the current status of the job. This will change as the job progresses to show when it has been confirmed, sent to the truck, in progress, completed, etc.
The second, currently showing W0, is to identify which depot this job is set to run from. This job is going via Whiston.
The third, currently showing a wheelbarrow, is to identify the extraction method. This will display different symbols to mean chute, pump, etc.
The fourth, currently showing a credit/debit card, indicates the payment type. In the case of card payments, the colour of this icon will change to show the payment status, but only if the payment is being processed via AGG SMART. Red means no payment has been authorised, orange means the payment has been pre-authorised, green means that the payment has been taken.
The final icon, currently showing a clock and 8:0, is to tell me that I have dragged this job into a different spot on the calendar than was originally chosen when adding the quote. This will not prevent the job taking place at 8:15, as it is currently placed, it is just to make sure that you don't accidentally schedule it for the wrong time or truck.
Once you are confident that your job is in the correct position, click on it to bring up the Job Pane.
This pane is what we will use to send our job to the driver's mobile device, but before we do that, it is best to again ensure that the details of the job are correct. Once you are certain, click on the green bar at the top of the pane labelled Confirm Job. You will then be presented with the option to confirm with or without an SMS. If you choose with, a text message and email will be sent to the Site Contact entered on the quote. If you want to check this, or anything else about the quote, before continuing, press View Quote at the bottom of the pane.
Once you are happy with the content of the job, confirm it.
The status of your job will now change to Scheduled, and you will see an option to add Driver notes. Anything that you type in this box will be shown on the driver's app in red text, immediately following the job information. This is for adding any important additional information that the driver needs to know ahead of travelling to the site. If you entered anything in the Driver Notes field on the quote, it will display here.
Once you have added any additional notes required, you can click Send to Truck and choose the correct vehicle from the drop down that appears. You will then be asked whether you want to navigate the truck directly to the site, or to the depot first before heading to the site. This doesn't change anything on the job itself, merely what the driver's app will navigate the driver to first.
Your job will now show as having been sent to the truck, ready for the driver to view it on their app and undertake. Now, we can continue on to
tracking the progress of your job.
